Privacy Policy

1. What We Collect

When you use BidSnap, we collect and store:

• Account details: your email address and how you sign in. If you use email and password, we store only a secure hash of your password, never the password itself. If you sign in with Google, we receive your Google account ID, email address, and name. Accounts created before sign-in with Google and email were available may also have a legacy access key.
• Announcements: we may send occasional product announcements. Each has an unsubscribe link, and unsubscribing doesn't affect account emails like password resets.
• Company profile: information you provide during onboarding (company name, location, capabilities, equipment, qualifications). This is used to tailor AI analysis to your business.
• Uploaded documents: tender packages, specifications, addenda, and other files you upload for analysis.
• Usage data: which analyses you run, your Document Chat messages, credit transactions, and basic interaction logs (see section 6).

2. How AI Analysis Works

BidSnap uses artificial intelligence to analyze your tender documents. Here is exactly what happens:

• When you upload documents and run an analysis, the text content of your files is sent to Anthropic’s Claude API for processing.
• Anthropic is a third-party AI provider. We do not control how Anthropic stores, processes, or retains data sent through their API. You can review Anthropic’s privacy policy for details on their data handling practices.
• Your company profile information is also included in AI prompts to provide context-aware analysis.
• When you upload or open documents, and when you ask a question in Document Chat, BidSnap may also send the text of your document pages (with each page’s file name and page number), together with questions about the pages or a search query based on your question, to TypeSafe AI, a third-party AI provider. This is used to index your documents and to find the pages that answer your questions. Your company profile’s description of your scope of work may be included so pages can be ranked by relevance to you. TypeSafe AI states that it does not train its models on this input and that its services are hosted in the United States. We do not control how TypeSafe AI stores or retains this data. 3. Your Responsibility

By using BidSnap, you acknowledge that:

• You are responsible for the documents you upload. Do not upload documents you are not authorized to share or that contain information you are contractually prohibited from disclosing.
• If a tender package includes confidentiality restrictions, non-disclosure requirements, or proprietary markings, it is your responsibility to determine whether uploading that document to a third-party AI service is permitted.
• BidSnap is not responsible for any consequences arising from the unauthorized sharing of confidential documents.

4. Data Retention

• Projects and files are stored on our servers for as long as your account is active. You can delete individual projects at any time from the Projects page. A deleted project moves to Trash, where you can restore it for 30 days, and is then permanently deleted.
• Analysis reports are stored alongside their project files and are deleted when you delete the project.
• Account data (account details, company profile) is retained until you request account deletion.
• Usage logs (credit transactions, analysis records) are retained for billing and support purposes.

5. Third Parties

• We do not sell your data to any third party.
• Anthropic (Claude API): receives document text and company profile data for AI analysis. See section 2 above.
• TypeSafe AI (Jev API): receives the text of your document pages, your scope-of-work description, and search queries based on your Document Chat questions, to index your documents and find the pages relevant to you. See section 2 above.
• Stripe: processes credit purchases. We do not store your payment card details; Stripe handles all payment information directly. See Stripe’s privacy policy.

6. Cookies & Local Storage

BidSnap uses minimal browser storage and no third-party trackers:

• Sign-in cookie: a secure session cookie keeps you signed in between visits. It is not used for tracking.
• Our own analytics: a first-party analytics script stores a random visitor ID in localStorage and records page views, scroll depth, and clicks on our website, plus actions in the app (such as starting an analysis or sending a chat message), along with your IP address, browser type, and referring page. This data is sent only to BidSnap’s own servers. We do not use Google Analytics, advertising pixels, or any third-party analytics service.
• Preferences: localStorage also remembers small settings, such as dismissed notices, report bookmarks, and a referral code if you arrived through a referral link.

7. Account Security

Keep your sign-in details secure and do not share them with others. If you use email and password, choose a password you do not use elsewhere; resetting it signs you out on every device. If you believe your account has been compromised, reset your password or contact us immediately and we will secure it.

8. Disclaimer: AI Accuracy

BidSnap uses AI to analyze tender documents. AI can make mistakes. Reports generated by BidSnap are intended as a starting point for your own review: they are not a substitute for professional judgment. You should always verify critical information (quantities, deadlines, specifications, requirements) against the original tender documents before making bidding or pricing decisions. BidSnap is not responsible for errors, omissions, or misinterpretations in AI-generated reports, or for any business decisions made based on them.

9. Changes to This Policy

We may update this privacy policy from time to time. If we make significant changes, we will notify active users through the application. The "Last updated" date at the top of this page reflects the most recent revision.
